RMD Kwikform Constructs Order Amongst Documents With The Content Group

Formwork and shoring solutions provider to the global construction industry implements Enterprise Content Management solution.

RMD Kwikform has selected Enterprise Content Management (ECM) solutions provider, The Content Group, to provide ECM solution for document scanning and automation. RMD Kwikform has invested £16,000 in Invu document management software which integrates with their financial system Axapta.

RMD Kwikform provides formwork and shoring solutions to the global construction industry and with operations in 15 countries, has the ability to provide a local service, backed up by significant international experience.

RMD Kwikform is the Equipment Services division of Interserve, the services, maintenance and building group. Interserve's income is £1.7 billion and the group employs 26,000 people worldwide. Interserve creates buildings and other structures for clients in the public and private sectors. It maintains many different types of buildings, the operational systems that support them and a range of plant and equipment in specialist fields. And it co-ordinates a host of background services for its clients to keep them running smoothly and efficiently while they concentrate on their core business.

Pickard continues, "We implemented Invu in Aug 2007 and prior to this we had a manual filing system. The decision to deploy an ECM solution was driven by the need to store documents electronically. This ties into our business continuity plan – we have procedures in place in case there is any kind of critical incident - Invu supports this plan as documents are stored electronically and backed up. We are currently using Invu as a document scanning tool allowing us to gain huge amounts of office floor space through the elimination of paper files."

RMD Kwikform looked at a solution in use at Interserve Plc, another client of The Content Group, based on the Invu family of document management products. Based on feedback from Interserve and the functional fit of the product, it was decided to go ahead with an implementation.

Pickard explains, "We are currently using the ECM system in the finance department to scan and process purchase invoices, in the HR department to store personnel files electronically and the sales department uses the system to store documentation which relates to new customer applications."

Invu links directly to RMD Kwikform's finance system, Axapta, so that when you click on a purchase order reference number in the finance system it links directly to the correlating invoice. This creates huge time savings as users no longer have to search manually for paperwork or search through two disparate systems.

Pickard concludes, "We have had great feedback across the organisation and we are currently investigating the possibility of using the ECM system in our technical department for the electronic storage of technical drawings and information. We are also looking into the potential use of Invu in our export department for storage of foreign export documentation."
